Policies and Frequently Asked Questions from Grown-ups
HOW FAR IN ADVANCE SHOULD I BOOK?
We recommend you book 2-3 months ahead of time. This will give you a better chance of getting the party host and date of your choice. You will receive a $20 discount by booking at least two weeks in advance. If you have a last minute party request, feel free to call us and we’ll accommodate you if we can.
WHAT DAYS AND HOURS DO YOU DO PARTIES?
Our party hosts do parties Monday through Friday 4:00 – 8:00 pm and on Saturdays between 9:00 am and 8:00 pm. If these times do not work for you, feel free to call and request a different time and we will accommodate your request if possible.
HOW DO I BOOK A PARTY?
We book parties on a first come first serve basis and do not hold dates without a deposit. The deposit amount depends on the type of party you are booking. All deposits are applied to your total party price and the remaining balance is due in cash on the day of your party. Party options are shown on our website along with what each package includes, pricing and a la cart items you can add to your party.
WHAT FORMS OF PAYMENT ARE ACCEPTED?
Deposits can be paid by major credit cards (Visa, Master Card, Discover, American Express) on our website at APrincessParty.net as well as money order or check. All deposits are NON-REFUNDABLE because the party host reserved for your event is considered unavailable for other parties. Please make money order or checks for deposits payable to Princess Parties and mail to Princess Parties 3176 South 400 East, Bountiful UT 84010. In the event that your check is returned, we will assess a $25 fee and may turn your account over to a collection agency. The party balance (including mileage) is due to the performer in cash on the day of your event. We recommend meeting your party host outside before or after the party to pay them the cash balance discretely so payment is not made in front of the children.
HOW DO I KNOW MY RESERVATION IS CONFIRMED?
If your first or second choice of party hosts isn’t available, or if your date request is not available, we will contact you by telephone to see what other options you are willing to consider. After a party host and date is secured, we will email you a confirmation with who is coming, the date and time, what they will do at your party and the balance due to your party host including mileage. Also, your party host will call you the day before your party to confirm everything with you.
HOW FAR DO YOU TRAVEL / WHAT IS THE MILEAGE FEE?
We host parties in Utah along the Wasatch Front (Salt Lake City, Provo, Ogden, Logan areas). Wondering if we will travel all the way to you? Just ask. We’ll accommodate you if we can. We charge .50 per mile roundtrip for party hosts to come to your location. .50 per mile is the IRS standard for mileage reimbursement and takes into account gas costs as well as vehicle wear and tear. We use mapquest.com to determine mileage and input the character’s starting address as well as the party address. A list of characters by city can be found on our website to determine which characters are closest to you to reduce your mileage costs.
WHERE ARE YOUR PARTIES HELD?
We bring the party to your home, park, church, a reception hall, or wherever you would like. Please provide us with a complete address including the city and zip code for all parks and venues. We do have arrangements with a few reception centers, yogurt shops, dance studios for an additional per hour cost if you are looking for a venue. Some venues have their own restrictions and guidelines so please check to make sure your venue allows outside entertainment before booking with us. Weather permitting; we can host your party outdoors. The birthday party should feature a clean open area for our entertainment. The weather should be between 70 and 79 degrees for a party to be comfortable for the host and party guests if held outdoors.
HOW MANY CHILDREN CAN WE INVITE?
There is no limit on the number of children you can invite for a 15 minute character appearance. Our day spa and chocolate parties are designed for 8 children or less. Character parties are for 12 children or less. These limits are in place for manageability. If you choose to invite more children than we suggest, please pay for additional supplies when you checkout to ensure that we will have enough supplies for the children at your party. Also, if you choose to invite more children, understand that you may have a more chaotic atmosphere at your party. Magician parties include face painting or balloon twisting for 12, but are unlimited in the number of children who can enjoy the magic show.
HOW DO I DETERMINE THE FINAL HEAD COUNT FOR THE PARTY AND PARTY FAVOR BAGS?
Because people often do not RSVP, please base your guest list count on the number of children you have invited. Remember to include siblings, cousins etc... in your count if they will be using supplies and act as active participants at the party. The count you give us two weeks prior to your party determines the amount of supplies we will bring to your party. If the number of children attending your party is over the number you gave us, we may not have enough supplies for the children at your party. If you need more crafts, party favors or supplies than your party package provides, please purchase the amount based on the number of children you have invited (including siblings etc…) so you have enough for your party guests. Consider the number to purchase as if you are buying party supplies from the store. You might end up with a few extra, but at least you won’t be short. We cannot accommodate last minute additions to your party favor bags count. Our party hosts pick up supplies for their party 2 weeks before the party and do not collect payment for these supplies.
WHAT TIME SHOULD I SCHEDULE THE PARTY HOST TO ARRIVE?
If you are inviting a character to host the party, we recommend asking the host to arrive at least 15 minutes after the other guests. This way, everyone will have arrived by the time the party host gets there to lead the activities. If possible, please have the party guests waiting inside for the character host so they won’t see the party host arrive until they are ready and knock on the door at your party. If you have an extra adult on-hand to help the party host carry supplies into the party, it can be helpful. If the party host is leading a magician, sports, chocolate, or day spa party, they can arrive at any point you choose for the party.
WHAT EQUIPMENT OR SPACE DO I NEED TO PROVIDE FOR MY PARTY?
We will need a large open room where we can participate in party activities. Carpeted areas are nice for games, singing, dancing and activities and pushing back couches and coffee tables can help create less crowding. Birthday cake cutting and eating is best at the kitchen table. For chocolate parties, we will be using the kitchen including counters and a kitchen table. For day spa parties, we will need access to a kitchen or bathroom sink. For outdoor parties, we recommend setting out blankets on the grass for sitting on.
WHAT DO PARTY HOSTS BRING TO THE PARTY?
We bring all supplies needed to conduct the activities included in the party package you have booked. Party hosts bring everything needed for the games we play, the crafts we provide, the balloons we twist and the non-toxic, professional face paints we use. We supply our own storybook for story time and coloring pages and crayons where applicable. Some party packages include birthday cake, party favors and paper products. The Party options tab on our website gives a list of what activities will be provided for each party package. We do not provide a camera or decorations for your party.
ARE BOYS WELCOME TO PRINCESS PARTIES? (OR GIRLS TO PIRATE OR SUPERHERO PARTIES?)
Yes! Our party hosts are used to a few boys at a princess party or girls at a mostly-boy party. While the general theme may appeal more to one gender, the hosts are great at involving everyone and all activities can include both girls and boys.
WHAT SHOULD THE PARTY GUESTS WEAR?
When applicable, it can be fun to include instructions on the invitations such as “Come dressed in your princess (pirate) attire”, or you can pay for us to bring dress-up costumes for the party, but it is completely up to you!
CAN PARENTS STAY FOR THE PARTY?
As long as there is adequate room available, we have no problem with an audience.
HOW MUCH DO I TIP?
The entertainers that serve you are extremely well trained and make it their top priority to ensure your party is a success. If you want to show the party host that you appreciated their performance, we recommend a gratuity based on the party amount of 10% - 20% at your discretion. Tips are not required, but always appreciated.
DO YOU OFFER ANY DISCOUNTS?
You will receive a $20 discount by booking at least two weeks ahead of time. To receive this discount, simply book 14 or more days prior to your party (booking date is defined by the deposit submission date and is a $20 reduction in the deposit amount). We also offer discounted rates for schools, libraries and non-profit charity organizations. Please call us for rates.
WHAT IF I NEED TO CHANGE MY PARTY DATE OR CANCEL THE PARTY?
We will work with you to find a date that works for your schedule if you have an emergency and need to change your party date. We will apply your deposit to another date as a one-time courtesy. If you do not want to reschedule, you will lose your deposit payment.
WHAT HAPPENS IN THE EVENT OF INCLEMENT WEATHER?
We are devoted to the safety of party guests and the host. If the roads are unsafe, we will make arrangements to schedule a new date and time. If we cannot accommodate you with a new date and time, your deposit will be refunded.WHAT IF THE PARTY HOST IS ILL?We reserve the right to substitute your party host with a different comparable party host in the event that the original host is too sick to host your party. If we need to offer you a substitute entertainer, we would contact you by telephone and give you the opportunity to advise us whether you would like a substitute host or to reschedule the party.
PARTY HOST SAFETY AT YOUR PARTY
If the party host feels unsafe at your party for any reason, they will leave the premises immediately. No inappropriate language or behavior of any kind will be tolerated. An unsafe party atmosphere violates the agreement and we are under no obligation to provide party services to children. We reserve the right to refuse service to anyone.
LIABILITY
When you pay your deposit to book a party, you are agreeing to provide a safe environment for party guests and the host. Please be advised that we assume no responsibility or liability resulting from accidents or damage caused during your party to your guests or your property. Your party host/entertainer will attempt to ensure that your home and guests are treated with care; however, liability will lie strictly with the client. If the client opts to serve food or requests makeup application or face painting services, we advise clients to alert guests and their parents of these activities that may result in allergic reactions. We also advise clients to supervise all party activities. Although the party hosts are there to entertain the children, it is the responsibility of the client, and/or guests’ parents to resolve behavioral problems or to care of children in the event of injury or illness.
NOTE ABOUT COPYRIGHTED CHARACTERS:
We are pleased to provide birthday party entertainment for your child and guests. However, it is not our intention to violate copyright laws. Should you have the need for a licensed, copyrighted character at your event, we encourage you to contact the company/copyright holders for the specific character.
